When you use VoiceMatrix, we collect information that you provide directly to us, including:
- Name, email address, and phone number when you contact us or register for a demo
- Call recordings and transcriptions when using our voice AI services
- Usage data and analytics to improve our services
- Company information for business accounts
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our voice AI services
- Process and complete transactions
- Send you technical notices, updates, and support messages
- Respond to your comments, questions, and requests
- Develop, train, test, evaluate, and improve our AI models, products, and services. This may include names, phone numbers, voices, conversation content, and other data that identifies or could identify a caller — we do not represent that this information is anonymized before such use (see "Research & Development Use of Data" below)
3. Data Storage and Security
Your data is stored securely on Microsoft Azure servers with the following protections:
- All data is encrypted in transit using HTTPS/TLS
- Data at rest is encrypted using industry-standard encryption
- Regular security audits and monitoring
- Access controls and authentication requirements
4. Call Recording Retention
VoiceMatrix currently retains call recordings, transcripts, and related call data indefinitely by default, including after a customer's active service relationship with us has ended. We do not currently apply an automatic 30-day deletion period or another fixed retention period to this data. Information may remain identifiable and may be retained for service operation, security, legal compliance, research, development, and product improvement. Data will be deleted when required by applicable law or when an eligible deletion request is approved and completed, subject to any lawful exceptions or retention obligations.
5. Research & Development Use of Data
VoiceMatrix may retain and use call recordings, transcripts, and related information for research, development, AI training, testing, quality evaluation, and product improvement beyond the period in which the services are actively provided. Unlike approaches that use only anonymized, de-identified, or aggregated information for long-term research, this data may include voices, conversation content, contact details, and other information that identifies or could identify a caller. We disclose this practice so that customers, users, and callers can make an informed choice about providing or allowing their information to be processed.
A customer, user, caller, or authorized representative may submit a deletion request using the contact information in the "Contact Us" section below. Deletion requests are not currently processed through a fully automated system; they are reviewed and carried out manually on a case-by-case basis, which may require verification of the requester's identity and authority. We will process valid requests as required by applicable law, subject to lawful exceptions and any information we are legally required or permitted to retain.
